An Internal Analytics Dashboard Nobody Used

This is a hypothetical, illustrative scenario built to demonstrate the framework. It does not describe a real, named client engagement.

1. Situation

An operations team builds a comprehensive internal analytics dashboard after several stakeholders request "more visibility" into weekly performance.

2. Initial Output Idea

A dashboard with dozens of charts covering every metric anyone had ever asked about, refreshed nightly.

3. Customer

Regional operations managers who make weekly staffing and prioritization decisions.

4. Need

Managers currently rely on a manually assembled spreadsheet that is often a day out of date, causing reactive decisions.

5. Desired Outcome

Managers catch and act on a developing issue at least a day earlier than before.

6. Assumptions

Assumption: managers will check a dashboard daily on their own. Fact: the previous spreadsheet process took roughly two hours per week to assemble. Unknown: whether the barrier was data freshness or simply not knowing what to look for.

7. Minimum Output

A single weekly email highlighting the three metrics most likely to require action, instead of a full self-serve dashboard.

8. Measurement

Primary outcome metric: median time between an issue developing and a manager acting on it. Guardrail: no increase in manager-reported information overload.

9. Experiment

Send the weekly highlight email to 5 regional managers for 6 weeks and compare against the prior quarter.

10. Learning

Managers acted on flagged issues noticeably faster, and several asked for the email to be extended to their team leads.

11. Decision

Improve: keep the lightweight email format, and only add a full dashboard if a specific recurring need for drill-down emerges.
